Job description

Para nuestro cliente importante estudio de ABOGADOS, ubicado en el sector Oriente de Santiago, buscamos a la mejor ASISTENTE RECEPCIONISTA, quien será responsable de asegurar el funcionamiento diario, fluido y organizado de las operaciones de la oficina, actuando como el primer punto de contacto para visitantes y llamadas, y brindando soporte administrativo esencial bajo la supervisión directa de la Gerente de Administración y Finanzas.

Su rol será clave para profesionalizar la gestión de los servicios generales y mejorar la eficiencia operativa, permitiendo que la GAF y los abogados liberen tiempo de tareas rutinarias para sus focos estratégicos y legales.



Principales Responsabilidades:



​​​​​​1.

Gestión de Recepción y Atención al Cliente Interno/Externo:Recepción y atención telefónica.



- Gestionar la recepción de la oficina, atender llamadas telefónicas, derivarlas adecuadamente y manejar la comunicación inicial.

- Atención a visitantes: Recibir y orientar a clientes, proveedores y otros visitantes de la oficina, manteniendo un ambiente profesional y acogedor

- Coordinación de salas: Apoyar en la coordinación y reserva de salas de reuniones y otros espacios comunes.



2.

Coordinación de Servicios Generales y Suministros (Bajo supervisión de la GAF):



-Gestión de compras de oficina: Encargarse de la adquisición y control de inventario de materiales de oficina, papelería, tóner, diarios, flores y otros insumos necesarios, asegurando el abastecimiento oportuno.

-Manejo de caja chica: Administrar la caja chica semanal de la oficina, realizando pagos menores y llevando el registro correspondiente en coordinación con la GAF.

-Coordinación de envíos y mensajería: Gestionar los servicios de motoboy, Chile Express y DHL para la entrega y recepción de documentos y paquetes, manteniendo un registro organizado.

-Supervisión y coordinación de aseo: Supervisar el servicio de aseo interno de la oficina para mantener los estándares de limpieza y orden.

-Coordinación de catering: Gestionar el catering para reuniones, eventos internos y otras ocasiones que lo requieran.

-Gestión de tarjetas de presentación: Coordinar la solicitud y entrega de tarjetas de presentación para el personal.



3.

Soporte Operativo para la Gestión Administrativa (Bajo dirección de la GAF):



-Apoyo en rendiciones de gastos: Colaborar con los abogados en la recopilación y organización de la documentación de respaldo para la rendición de gastos, facilitando un proceso que actualmente es percibido como lento y propenso a errores.

-Coordinación de viajes: Brindar soporte en la coordinación de viajes y alojamiento para el personal de la oficina.

-Soporte básico de TI y coordinación de licencias: Actuar como punto de contacto entre el personal y el externo de tecnología (Fernando Faúndez) para ingresos y salidas.

-Coordinación de eventos internos: Apoyar en la organización de actividades de integración, desayunos, celebraciones de cumpleaños y otras iniciativas que promuevan un buen clima laboral.







Requisitos y Habilidades:



-Experiencia previa en roles de recepción, asistente administrativo o coordinación de servicios generales (deseable).

-Excelentes habilidades de comunicación interpersonal y escrita, para interactuar fluidamente con el equipo y clientes.

-Alta capacidad de organización, proactividad y atención al detalle para gestionar múltiples tareas simultáneamente y mantener el orden en un entorno dinámico.

-Dominio de herramientas de Microsoft Office: Word, Excel, Outlook.

-Capacidad para trabajar de forma independiente y en equipo, con una sólida orientación al servicio y una actitud colaborativa
